If you're coming from outside Dallas–Fort Worth, we structure everything as one consecutive trip: your records reviewed before you book travel, your Discovery Day on Monday morning, your report of findings that same midday — and if the findings support a program, it starts the same week, same trip. It begins, like everything here, with a free 15-minute call from wherever you are.
MindForge doesn't bill insurance — by design. Direct-pay is what makes an individualized, intensive program possible rather than care shaped by billing codes. HSA/FSA and financing options exist, and a written Good Faith Estimate precedes any commitment.
Records first — before you book a flight
We don't let you spend travel money on a maybe. Before any trip is planned: a 15-minute call, then a records review — prior imaging, specialist notes, test results — through our secure channel (start records review). If what we see says MindForge isn't the right fit, we tell you then, on the phone, before you've booked anything. The trip only happens when the fit is real on paper first.
The traveler week
- Before you travel — records reviewed; your Discovery Day scheduled live on your call; travel and lodging planned around a Monday start.
- Monday morning — your MindForge Discovery Day: a comprehensive neurological evaluation + report of findings + care plan. By midday you're sitting with the clinician reviewing your own results.
- Monday midday — the decision, together: your findings, a conceptual program, and a written Good Faith Estimate. If we're not the right place, you hear it now — with the complete evaluation in hand to take anywhere.
- Same week — if a program is right, it begins that trip: 3–5 clinical hours a day across typically 5–10 treatment days (weekends off), so the evaluation and the program fit one planned absence — most travelers plan one to two weeks from work, school, and life.

Where travelers come from
Houston is our most common drive-in lane — roughly four hours down I-45 — with Austin, San Antonio, East Texas, Oklahoma City, Tulsa, Shreveport, and Louisiana close behind. Flying, DFW International and Love Field both sit within about twenty minutes of the MindForge Brain Center in normal traffic. Some conditions we work with — POTS and dysautonomia, post-concussion syndrome, vestibular disorders — are exactly the ones people cross state lines for, because instrumented evaluation depth is scarce most places.
Lodging and logistics
The brain center sits near Galleria Dallas, one of the metroplex's densest hotel corridors — options at most price points within a short drive, plus extended-stay properties suited to a program week; the care team shares current lodging suggestions on your call. Plan on: comfortable clothes, your medications as prescribed, a companion if you can bring one (the report of findings is better with two sets of ears), and rest built around clinical days — the schedule is designed with recovery time in it.
What the trip costs, all in
Clinical fees are settled before you travel — your evaluation cost is confirmed on the call before you book anything, and if a program follows, a written Good Faith Estimate lands before you commit. Travel, lodging, and meals are separate and yours; a program week in Dallas typically means several nights' lodging plus travel, and you should budget for all of it before you come. We'd rather you plan with the full number than be surprised — if the total doesn't work, say so on the call and we'll talk through options, including ways to pay and whether waiting or a closer-to-home path serves you better.
